Early Career (EC) members of the experiment are the PhD students and postdoctoral researchers who are in the early stages of their careers. Master and bachelor students are invited
to take part in the activities and discussions of the EC members without the right to vote for the representatives because they are members only for a short time in the experiment.
EC members send representatives to each of the following boards of the experiment
- Institutional Board: 5 members with voting rights
- Steering Committee: 1 member
- Publication Board: 1 member
- Speakers Board: 1 member
The representatives have to join the relevant board meetings both at the collaboration meeting and in phone conferences. The mandate of the representatives is one year in each case that can
In case a representative cannot join the collaboration meeting or a phone conference in person, he/she should delegate someone else because representation and the 5 votes on the IB are more important.
Missions of representatives
The purpose is to ensure communication from the management to the young workforce of the experiment and vice versa. Furthermore to bring up concerns of scientists in the early stages of their career that might differ from those who have a permanent position. For example ensure that publication requirements for PhD students in different countries are taken into account in the publication policy or ensure that EC members get opportunities to talk at major conferences in critical stages of their career. It is the duty and responsibility of the representatives to collect ideas, concerns and issues of EC members before the specific board meetings and to present them there.
The communication is ensured by the IB representatives sending the agenda of the IB meeting before to the EC members for discussion (github or phone conference) as well as sending the minutes of the IB meeting highlighting the relevant parts for EC members. Additionally the IB representatives should find volunteers to
- organize social events at the collaboration meetings
- prepare and keep updated an information packet for newcomers
- organize the elections for the representatives
- help in organization of specialized meetings e.g. software workshop
The elections are organized by a volunteer election committee. They collect nominations from all EC members (self-nominations included) and ask the nominees if they would be willing to serve on one (or more) of the boards. They should make sure that all the different geographic regions and the different career stages are represented among the nominees. Overlap between positions is allowed as long as the nominee can ensure their full participation is all meetings beside their usual research work. An anonymous vote is organized to elect the person for each position. Every EC member has one vote and the voting system should not allow multiple votes from the same person. All different board representatives can be elected in one voting round where each EC member can cast a vote for the given number of vacant positions.
